Privacy policy
This explains what Kwassely does with your information. It applies to you as a user, and it asks you to be careful with your customers' details too. Our Terms of use apply alongside it.
Who we are
Kwassely is provided by Nomon Internet Solutions Ltd. We are the data controller for your information and are registered with the Information Commissioner's Office, registration number ZA644984.
What we collect
- Your details: your WhatsApp number, name, business name, address, email, VAT number, logo and the bank details you choose to put on invoices.
- Your messages: the text and voice notes you send to Kwassely, and our replies. Voice notes are turned into text.
- Your quotes and invoices: the items, prices, payments and customer names and addresses that you include, and the PDFs we create.
- Technical data: sign-in codes, usage counts for your plan limits, and basic logs to keep the service secure and working.
Please don't send more than you need
Only send the details needed for a quote or invoice. Don't send personal details beyond that, such as health information, ID or passport numbers, or card numbers. If you give us customer details, you are responsible for having a good reason to do so.
Messages are recorded
We store your messages and voice notes. We use them to create your quotes and invoices, to keep the service working and to deal with problems.
Why we use it
We use your information to provide Kwassely to you (this is our contract with you), to keep it secure and fair (our legitimate interest), and to meet legal duties.
Where it is kept
Our servers, database and stored files are hosted with DigitalOcean in the UK.
AI services are different. To read your messages and voice notes we send them to AI services, including OpenAI and DigitalOcean's AI inference service, and we may use other AI services in future. We don't control where those providers process data, so it may be handled outside the UK.
Who else handles it
- Twilio (Meta's WhatsApp), to send and receive your messages.
- OpenAI and DigitalOcean, for speech-to-text and AI, as above.
- Brevo, to send emails such as address verification.
- Xero, only if you connect it.
We don't sell your information. Quote and invoice links are open to anyone who has the link, so only share them with your customer.
How long we keep it
We keep your information while your account is open. If you ask us to close your account we will delete or anonymise it, except what we must keep by law or to settle a dispute.
Your rights
You can ask us for a copy of your data and for an export of it, to correct it, to delete it, or to object to how we use it. You can also complain to the Information Commissioner's Office (ico.org.uk).
To use any of these rights, email [email protected].
